  • chevron_rightWhat are 'assessments' (aka dues)?
    Per our Covenants, Article 6.12. Budgeting and Allocating Common Expenses: Base Assessments/dues are periodic amounts due from each homeowner to cover Association expenses, including administrative costs; maintenance and repair of the common areas; utilities; and insurance, and also to provide for a reserve fund for replacement of common assets in future years.
     
    Avian Woods assessments/dues are paid annually. Invoices are prepared in January and are for the billing period from January to December of the same year billed.
     
  • chevron_rightHow can I pay my assessment/dues?
    There are two ways to pay your annual assessment/dues.
     
    • Check or money order 
      • Make check payable to Avian Woods HOA.
      • Mail to: Avian Woods HOA, 3968 Rock Dove Landing, Edmond OK 73034   OR drop the check in the HOA mailbox located at our neighborhood park at this same address
      • There is no convenience fee added for check or money order payments.
    • Online Payments
      • Go to the web address (avianwoodshoa.com) to pay online. This allows you to pay online using a credit card, Google Pay, or Apple Pay. 
      • A convenience fee is added to the assessment/dues amount paid online.
     
  • chevron_rightWhat features are offered on this website?
    The Members menu hosts several pages that provide our neighbors with information/access to our HOA Board, HOA Committees, and Resources.
     
    • Board/Committees - The Board/Committees page lists all of our neighbors on the HOA Board and HOA Committees.
    • Documents - The Documents page gives neighbors access to our neighborhood documents, including our Covenants, annual and board meeting minutes, and treasury reports.
    • Forms-Architectural & Requests - The Forms-Architectural & Requests page gives neighbors access to all neighborhood fill-in forms and submit multiple documents/images with those forms. It also handles and tracks any questions/requests submitted to the HOA Board. This allows the HOA and our neighbors documentation for all our HOA Board questions/requests and Architectural Committee requests.
    • Member Directory - The Member Directory page allows neighbors to search our neighborhood directory by using up to 2 profile fields at a time. Each neighbor can choose if they wish to be listed in the directory, and which of their profile fields are hidden and visible on the website.
    • Questionnaire - The Questionnaire page allows the HOA Board to present a variety of questions to our neighborhood. The responses are then summarized and used to assist our HOA in overseeing our community. The HOA Board may also set up an official vote, where the neighborhood can vote online on matters that affect our community, such as covenant changes and elections.
     
    The Neighbor Services menu hosts 3 pages that allow our neighbors to offer their services to our community and allow our community to support our neighbors.
     
     
    • Business Directory - The Business Directory page is where our neighbors can advertise their company, and where our community can go to find a company for their projects or needs. A coupon can be included within each listing to promote the company's services further. Neighbors can also review and submit a star rating for each company.
    • Find a Sitter - The Find a Sitter page is where our neighbors can advertise their sitting services - whether it be a house, child, or pet. Neighbors can also submit a review regarding their experiences with each sitter.
    • Teen Services - The Teen Services page is where our neighbors can promote their teen's handy services/business. Neighbors can post reviews based on their experiences with each provider.
     
    The Social menu hosts several pages that allow our neighbors to communicate/share/interact with each other.
     
     
    • Events - The Events page is where neighbors can find information about all of the upcoming neighborhood meetings and events.
    • Lost & Found - The Lost & Found page is where our neighbors can post items they have lost or found.
    • Marketplace - The Marketplace page is where our neighbors post items they have for sale. This is a great resource to help neighbors promote their garage/moving sale and re-home their no longer-needed items.
    • Message Board - The Message Board page allows neighbors to post thoughts and questions on the website for other neighbors to respond.
    • Pet Directory - The Pet Directory page allows neighbors to submit the details and photos of their pets. This can be a useful tool for our community to identify any of our furry members, who may be found wandering unaccompanied in our neighborhood.
    • Recipes - The Recipes page is where our neighbors can share their favorite recipes. Recipes can include a photo and be grouped into categories.
    The Announcements Box - The Announcements box is located on the right side of the homepage and is where the HOA Board posts announcements for the neighborhood. 
     
    The Member Account Balance Box - The Member Account Balance Box is located on the right side of the homepage and is where members can access their Dues balance. 
     
    The Contact Us Page - The Contact Us page allows members and the public to communicate with the HOA Board. If a member has a question or request, please fill out a ticket on the Forms page. 
     
    The Covenants Page - The Covenants page is where members and the public can view the Avian Woods Homeowners Association Covenants.
     
    The FAQ Page - The FAQ page is the page you are currently on, that provides answers to frequently asked questions.
     
    The Resources Page - The Resources page is where members and the public can find state and private services/resources, that are available to our community.
  • chevron_rightWho can have an account on the Avian Woods website?
    To prevent fraud and non-homeowners gaining access to the non-public parts of our site, only homeowners may create a member's account. To create an account, use the Register button on the home page. Once you are verified and approved, you will receive an e-mail with a link to create your account. If you need assistance, use the  Contact Us page.
  • chevron_rightHow do I change my member directory preferences?
    To change your Member Directory preferences, go to Your Profile on the top right of the webpage, and click on Update Directory Preferences.
     
    This page will allow you to show/hide your Member Directory profile in the Your Directory Preferences setting. If you want your profile shown in the Member Directory but want to control who sees certain information (photo/address/email/phone number), you may do this in the Fields & Preferences settings.
     
     
     
     
  • chevron_rightWhat is a "Homeowners Association"?
    Per our Covenants, Article 6.1. Functions of Association: A Homeowners Association is a non-profit corporation registered with the State and managed by a duly elected Board of Directors/Officers.
    • Its purpose is to maintain all common areas and to govern the community by the provision of the legal documents: Covenants, Conditions, and Restrictions (CC&Rs), Bylaws, and Articles of Incorporation.
    • The governing documents for the association may be viewed online within the Documents page of this website.
    • The legal name of our association is “Avian Woods Homeowner's Association, Inc.”
  • chevron_rightWhat is a 'self-managed' Homeowners Association (HOA)?
    The self-managed homeowners association relies on volunteers, particularly the Board, to handle all responsibilities. From managing daily tasks to enforcing rules, volunteers from within the association take charge. This approach is cost-effective as it eliminates the need for a management company, with Board members serving as unpaid managers. The funds saved can then be directed towards enhancing common areas, primarily focusing on improving roads.
  • chevron_rightWhat is a "Declaration of Covenants, Conditions & Restrictions"?
    The Declaration of Covenants, Conditions, and Restrictions, commonly referred to as “Covenants” or “CC&Rs”, is the governing legal document that establishes the guidelines for the operation of a planned community as a non-profit corporation.
     
    • Avian Woods was platted and developed in February 2006 in Logan County, Oklahoma.
    • The governing legal documents for the Association may be viewed on the Documents page of our website.
  • chevron_rightHow does the HOA enforce the covenants?
    The enforcement of the covenants will be administered by the Enforcement Committee. The Enforcement Committee will review the potential violation, and determine if it does violate our Covenants. If it is determined that a Covenant has been violated, the Enforcement Committee will reach out to that homeowner. If the violation does not get resolved, then the HOA may take action against the violator, as outlined in our Covenants, Article 6.7. Compliance and Enforcement. 
  • chevron_rightDid the 2023 'proposed' Bylaws & Covenants pass?
    In September 2023, the Board attempted to re-write the Covenants but did not get enough votes for the proposed Bylaws/Covenants to pass. Many of you did review and vote on the 'Proposed' Bylaws/Covenants, however since it did not pass, we are still governed by the original Covenants written in 2006.
  • chevron_rightHow do I notify the HOA Board of a question or request?
    To notify the HOA Board of a question or request, you will need to submit a ticket on the Forms page. Once your ticket is submitted, a member of the Board will respond through our support ticketing system. Communication through the support ticketing system allows both yourself and the Board to track and document the progression of your question or request.
  • chevron_rightWho is responsible for the maintenance of our roads?
    Per our Covenants, Article 6.1. Functions of Association: The neighborhood is responsible for the maintenance of our roads. Because we are responsible for its upkeep, the HOA has formed a Road Committee to assess the damage and cost of maintenance/repairs. Since road work is expensive, the HOA will have to spread out road repairs, unless the neighborhood agrees to a special assessment.
     
    The HOA Board is actively developing a long-term road maintenance plan. Your HOA dues contribute to this effort, ensuring safe and well-maintained streets for our community. Your support is invaluable as we work towards maintaining our neighborhood's infrastructure.
  • chevron_rightWho is responsible for the drainage channels and ditches in our neighborhood?
    Per our Covenants, Article 1, Definitions, Section D – "Drainage Channels": "Drainage Channels" shall mean those areas where easement for drainage purposes is reserved on any Lot on property within the area as described "Private Road." and Article 4 Use and Management of the Drainage Channels, Easements, and Private Roadways:Section 4.01: The HOA is responsible for maintaining, managing, and improving drainage channels located under private roads and within common areas.Section 4.02: The HOA Board of Directors may establish rules regarding the use of drainage channels and private roads.
     
    What does this mean for homeowners? The HOA is responsible only for drainage channels under our private roads. Homeowners are responsible for maintaining any drainage channels or ditches on their property. This includes keeping them clear of debris and ensuring proper water flow.

    You can find a copy of all available Annual & Board Meeting Minutes and Treasurer's Reports in the Documents page.  
  • chevron_rightDo I need approval from the HOA to build/install a fence/structure?
    Approval is needed from the Architectural Committee before any type of fence/structure is built/installed on your property. We recommend that you review our Covenants, Article 4.1. General Requirement for Prior Approval, to ensure that the fence/structure complies with our neighborhood rules. Please do not start building/installing the fence/structure until you have received approval. The HOA has the right to instruct homeowners to remove any fence/structure that is not in compliance with the Covenants at the cost of the homeowner. Per our Covenants, there is no appeal process.  
     
    This process consists of the following steps:
     
    1. Fill out and submit the online architectural form to the Architectural Committee on the Forms-Architectural & Requests page. This will create a ticket that will allow you and the Architectural Committee to communicate and track the progression of your request.
      1. If you wish to fill out the form by hand instead of online, you can find a printable version of the architectural form on the Documents page. Make sure to include a description of the project (overall dimensions, roofing materials, colors, etc.), a complete material list (including paint/stain brand and color), a picture or drawing of the project, and a site plan.
    2. The Architectural Committee will review and request any additional information or changes from the homeowner if it is needed.
    3. After reviewing the request, the Architectural Committee will inform both the homeowner and the HOA Board whether the request is approved or denied.
  • chevron_rightAre chickens or roosters allowed?
    Per our Covenants, Article 4.3.3 k. Animals: No poultry of any kind shall be raised, bred, or kept on any Lot.
  • chevron_rightWhere can I park my camper/RV/trailer/vehicle?
    Per our Covenants, Article 4.3.3 j. Vehicles: No car, truck, trailer, recreational vehicle, camper, van, boat, watercraft, motorized cart, four-wheeler, all-terrain vehicle, tractor, mobile home or any form of motorized transportation or conveyance (collectively "Vehicle"), shall ever be temporarily or permanently parked, located or otherwise maintained forward of the front building limit (sightline). Any "Vehicle" must be parked on a concrete slab.
     
    Provided, however, that it is not the intention of this paragraph to exclude the temporary parking of passenger automobiles on any portion of the garage driveway that is located forward of such front building limit or set-back line on each Lot. No Vehicles may be parked or stored on the street.
  • chevron_rightCan I park my vehicle under the park pavilion?
    Do not park your vehicle under the park pavilion at any time. This includes temporary parking when there is inclement weather. It is uncertain if the concrete pad is rated for the weight of a vehicle, and may sustain damage from having vehicles parked on it. 
  • chevron_rightWhat can I do if people are speeding in the neighborhood?
    The HOA does not have the authority to enforce traffic signs. We recommend that you politely ask the person in question to obey the neighborhood speed limit.
  • chevron_rightWho do I contact if there is a stray/unfamiliar animal on my property?
    Logan County does not provide animal control services. If the animal is being threatening or a nuisance, you may call the Logan County Sheriff's Office and request their assistance. For everyone's safety, do not discharge any type of firearm or other types of dangerous weapons at the animal.
  • chevron_rightWhat do I do if there is a dead animal on my property?
    Logan County does not provide animal control services. It is up to the owners of the property to properly dispose of any animal carcasses that are found on their property. 
  • chevron_rightDoes the HOA own the flag and pond?
    The flag at the corner of Night Hawk Hill & Prairie Falcon Pt., and the pond on Rock Dove Landing, are not owned by the HOA. The flag and pond  belong to the private lots that they reside on.
     
    The neighborhood common areas, that are maintained by the HOA, are the entrance of the neighborhood, the park on the corner of Hawkeye Pass & Rock Dove Landing, the lot containing the gas line on Rock Dove Landing, and the roads.
     
  • chevron_rightHow can I contribute to my neighborhood?
    We are always in need of volunteers. If you are interested in contributing to the improvement of our neighborhood, please reach out to the HOA Board through our Contact Us page. You may volunteer to join one of our HOA Committees or participate in events such as cleaning the park or decorating the neighborhood entrance. If you are interested in joining the HOA Board, elections are held at our annual HOA meeting the 4th Tuesday in September.
